Group Shared Services Accounting/Administrative Assistant – Remote

Budget Marine Group Shared Services is in search of an incumbent to fill the position of Accounting/Administrative Assistant – Remote in our Group Shared Services Department. This role is pivotal in supporting the operational backbone of our organization, ensuring efficiency and accuracy in the financial and administrative functions of the Group Shared Services Department. The successful candidate will be responsible for maintaining accurate financial records, facilitating the Accounts Payable and Receivable processes, coordinating administrative tasks, providing comprehensive support to the Group C.F.O. and ensuring efficient communication within the department and with external stakeholders. Location: Remote

Employment Type: One (1) Year Renewable Contract – Part-time: Five (5) hours per day; Five (5) days per week (Monday to Friday)

Duties and Responsibilities:

  • Create and process all Vendor Bills, Vendor Credit Notes and Vendor Payments related to Budget Marine Group Shared and Direct Fees/Charges – Daily.
  • Create and process all Customer Bills, Customer Credit Notes and Customer Payments related to Budget Marine Group Shared and Direct Fees/Charges – Monthly, Quarterly and Annually.
  • Manage Cash including daily maintenance of Budget Marine Group’s Bank Account, monthly Bank Reconciliations and monthly Cash Flow Forecasting.
  • Update the Budget Marine Locations’ Sales Report every end-of-month by the 5th of the following month.
  • Distribute all Customer Statements to Budget Marine Locations monthly.
  • Maintain the Aged Payables for Budget Marine Group Shared Services including the timely processing of Vendor Payments, reconciliation of Vendor Statements and monthly reporting to the Group C.F.O. and Group C.E.O.
  • Maintain the Aged Receivables for Budget Marine Group Shared Services including following up with Budget Marine Locations on the timely payment of Customer Bills/Credit Notes and monthly reporting to the Group C.F.O. and Group C.E.O.
  • Organize and maintain all departmental files and records electronically to ensure easy accessibility and retrieval of information.
  • Monitor the annual budget for Budget Marine Group Shared Services including quarterly and annual reporting of Budget vs Actual to the Group C.F.O. and Group C.E.O.

Job Requirements

  • At least 2-3 years experience as an Accounting Assistant.
  • Completion of at least Level 2 A.C.C.A. or other relevant accounting qualification.
  • Sound knowledge of accounting procedures, standards, generally accepted practices, and regulations.
  • Experience with Odoo (software) will be an asset.
  • Must be able to work five (5) hours per day five (5) days per week

  • Must be attentive to detail, self-motivated, organized, able to communicate effectively, demonstrate problem-solving abilities and critical thinking, adaptable and technically proficient.
  • Must be able to work independently, accurately, efficiently, and effectively in a remote setting.
